Project: Facilities Management on Operations (FMO)
Job Title: Contract Administrator / Compliance Supervisor
Reports to: Contract Delivery Manager
Location: All FMO Sites
2. Qualifications, Experience and Skills
Essential:
Have an outline understanding of corporate procedures and capabilities.
Have an outline understanding of the full “Reachback” capabilities offered.
Capable of producing comprehensive written reports and recording time.
Helpdesk experience, practiced in the use of Maximo CAFM system.
Capable of conducting internal audits on New Works, Planned and Reactive maintenance tasks to ensure compliance with the contract.
A grounding knowledge of British / International Standards / Legislation.
Must be fluent in English language.
Appropriate vocational qualifications.
Computer Literacy – Microsoft Word, Excel, Outlook, PowerPoint.
Good communication and numeracy skills.
Able to work under own initiative.
Desirable:
Previous experience on deployed project locations within an Administrative/Compliance Auditor
Experience of working on operations in austere remote sites or in developing nations.
Ideally from an auditing background and have completed internal auditor training.
Health and safety trained.
Experience of working in a multi-disciplines team.
Experience of working with other nationalities and cultures.
Experience of working in Middle East.
Able to work to deadlines in a fast paced environment.
3. Core Responsibilities and Duties
General:
Maintains office services by organizing office operations and procedures, preparing daily/weekly/monthly report, ensure security, integrity, and confidentiality of data, designing filing systems, monitor & process leave form and manage internal staff relations. Coordinate with Contract Manager regarding employee related issues, to include emergency leave, termination of contract, site transfer, disciplinary action and other related task. Keeps management informed by reviewing and analysing special reports, summarizing information, and identifying trends. Update all employees visa, site ID, MOD, CONDO / HSE training, and travel itinerary. Attend daily site call out and liaise with tradesman for the task. Directly coordinate with manning agency regarding management decisions for employee related issues. Capable of conducting internal audits on New Works, Planned and Reactive Maintenance tasks to ensure compliance with the contract.
Specific:
Send Daily Manning Report to Helpdesk
Monitoring the Leave Planner, Employee visa, Site ID and MOD Expiration
Prepare and process leave application forms.
Received callout during out of hours and liaise with tradesman to attend the emergency tasks.
Perform a variety of administrative duties, such as generating and distributing memos, forms, and attending other correspondence.
Perform Site Inductions for visitors in Al Minhad.
Create and update records and database with personnel, financial and other data.
Prepare and submit CONDO report to J1 Weekly
Monitor incoming and outgoing employee.
Follow up tickets and travel itineraries.
Prepare and submit general manning report to Security
Prepare and submit compliance report to all site monthly.
Prepare and submit CONDO / HSE Report.
Ensure filing systems are maintained and current.
General and Ad Hoc administration duties as required and as advised by line Management.
Ensure IT equipment is up to date and liaise with IT Dept for any related issues.
Update the Training Matrix as per provided by each site and HSE (Dubai, Bahrain, Oman & Iraq)
Coordinate with Prolog agencies for any necessary correspondence.
Assisting in detailed processing of Contractor’s paperwork.
Manage phone calls and correspondence (e-mail, letters, package etc.)
Maintaining/ordering appropriate stock of stationery
General office clerical duties and sending out mail etc.
Conduct 5% Compliance checks for Prevent Maintenance, Response Maintenance and Remedial Maintenance and 20% for Minor New Works and 1097M in line with FMO contract activities.
Direct Compliance team workload across all FMO sites.
Compile comprehensive reports.
Report all non-compliance issues found during audits to line Management.
Create effective working relationships.
Work independently with good decision-making skills
Operates office machinery such as copiers, scanners, shredders etc.
Interacts professionally with all levels of employees, client and customers
Consolidate Compliance Report from various site and format for Contract Manager period reports.
Raising all Works Dockets – Planned, Remedial and Reactive maintenance. (for deletions)
Registration of works orders. (for deletions)
Liaising with Contractors for Minor Works and distributing these jobs to the Contractors together with the necessary paperwork, as directed by the Technical Officers. (for deletions)
Feedback of all Works Dockets. (for deletions)
Carry out the weekly docket feedback update routine via the helpdesk (for deletions)
