As our Workplace Coordinator, your mission will be making every day at the office a great experience! From handling essential admin and office operations to organizing internal events, you’ll play a big role in creating a lively and welcoming workplace culture.
You’ll work closely with the Workplace Experience team and the wider People & Workplace Division to make sure everything runs smoothly. This is a hands-on role where you’ll take the lead on various operational and cultural initiatives, keeping the energy high and the experience seamless for everyone. As the go-to person from the Workplace Experience team at Yolo Group, you’ll embody our fun, fast, and fair culture, bringing it to life in every corner of the office.

✍️ Your daily tasks will be

Take care of the daily admin and operational needs of your assigned office hubs, including but not limited to managing supplies, keeping the office looking great;

Be the go-to person for employees and visitors, making the office feel welcoming and building positive relationships with everyone who walks through the door;

Manage supplies, organise parking, handle packages, and keep workspaces arranged to make sure everyone has what they need to do their best work;

Keep in touch with building administrators and tenants to address requests and keep communication smooth;

Support with occupational health & safety related matters in your dedicated hubs;

Oversee access management, work closely with building administrators and our Physical Security team to keep security in line with company policies;

Help create a vibrant, inclusive, and enjoyable office vibe that reflects our fun, fast, and fair culture;

Plan both small and large events for employees – from booking venues to managing logistics – making sure everyone can enjoy these special moments that bring our culture to life;

Build and manage vendor relationships to ensure the office stays clean and functional. Handle annual deep cleans, and work out the best deals to get high-quality service;

Help onboard new team members and off-board those moving on; this includes preparing desks, organizing welcome/leaving gifts, updating seating charts, and ensuring all the tech is set up or closed out;

Work closely together with our global Workplace Experience team to keep a consistent vibe and office standards across all Yolo Group locations;

Stay on top of office budgets, process invoices, and solve any issues with vendors to keep everything flowing smoothly;

Spot and solve operational issues as they come up, always looking for ways to make the office run better, more efficiently, and to boost everyone’s experience.

✔️ What we expect from you

At least 1-2 years of experience in a similar role, preferably within the fast-paced environment, ideally supporting international offices and working in a hybrid setup;

Proven ability to plan, coordinate, and execute projects, ensuring timelines, resources, and deliverables align with business goals;

Familiarity in project management tools like Jira and Confluence, along with office management software such as Hibob and Telema;

Experience in organising internal events, from planning through to execution, using the right tools to keep things running smoothly;

Strong stakeholder management skills, building positive connections across teams and locations;

Proactive, problem-solving mindset with a high level of ownership and initiative;

Strong organisational, multitasking, and time-management skills, with an eye for detail;

Ability to make independent decisions, set priorities, and follow through on tasks;

Exceptional service orientation with a passion for enhancing the workplace experience;

Flexibility and adaptability to handle shifting priorities and unexpected situations in a fast-paced environment;

Excellent verbal and written communication skills in English and Estonian.
