Job Title: AI & Business Systems Workflow Specialist
Position Overview: The ideal candidate will design, implement, and optimize AI-driven business systems and automation workflows tailored to personal injury law firm operations. This role will work closely with firm leadership, legal teams, and technical partners to refine operational efficiencies, improve case tracking and analytics, and ensure seamless integration of AI tools into legal workflows.
Key Responsibilities:

Workflow Automation & AI Implementation:

Design and optimize AI-driven workflows for intake, case processing, claims filing, and settlement tracking.

Implement automation tools to reduce manual tasks and increase process efficiency.

Customize and enhance firmXos’s proprietary software for legal operations.

Systems Development & Integration:

Ensure seamless integration of AI tools with case management software and analytics dashboards.

Work with GoHighLevel, CRM systems, and other automation tools to improve client communication and engagement.

Develop and refine APIs for data synchronization between legal tech platforms.

Data Analytics & Reporting:

Build advanced reporting tools to provide insights on case progress, operational efficiency, and client interactions.

Develop automated tracking mechanisms for settlements, medical records, and legal filings.

Legal Process Optimization:

Identify bottlenecks in legal workflows and propose AI-driven solutions to enhance efficiency.

Assist in training legal teams on new automation tools and AI systems.

Collaborate with firm leadership to align technology strategies with business goals.

AI & Compliance Management:

Ensure all AI-driven processes adhere to industry regulations, compliance standards, and legal best practices.

Stay updated on AI advancements in the legal industry and propose relevant innovations.

Qualifications & Experience:

Experience:

3+ years in legal operations, business automation, or AI-driven workflow optimization.

Experience working with personal injury law firms is a plus.

Previous exposure to process improvement roles within law firms, fintech, or healthcare industries is preferred.

Technical Skills:

Proficiency in GoHighLevel, Zapier, Make (formerly Integromat), and other automation tools.

Experience with case management software (e.g., Filevine, Clio, or similar).

Familiarity with AI/ML tools such as OpenAI, machine learning-based document processing, and automated data extraction.

Strong knowledge of CRM platforms, API integrations, and workflow optimization software.

Soft Skills:

Strong analytical and problem-solving abilities.

Ability to translate complex technical concepts into actionable solutions for legal teams.

Excellent project management skills and ability to work independently on high-priority initiatives.

Strong communication skills to collaborate with attorneys, clients, and technical teams.
