About the Role:
We’re two founders running a startup based in Australia, and we’re looking for a proactive, organised, and trustworthy Executive Assistant to help manage our day-to-day admin and keep us focused on growing the business.
This is a long-term role for someone who’s switched on, tech-savvy, and comfortable communicating professionally on our behalf. You’ll be helping with inbox and calendar management, light (personal) bookkeeping for tax return purposes, document formatting, and small project support.
Key Responsibilities:
Email Management (Outlook) – prioritising, organising, and drafting or responding to emails
Calendar Management (MS365) – scheduling, confirming appointments, and avoiding double-ups
Personal Bookkeeping Support (Xero) – tracking expenses, donations and personal income for personal tax return purposes (financial role of the business is taken care of separately)
Admin & Docs – formatting presentations (PowerPoint), spreadsheets (Excel), and Word documents
Project Support – tracking tasks, liaising with suppliers or stakeholders, following up on action items
Confidential Executive Support – working directly with the two founders on a range of business and personal admin tasks
What We’re Looking For:
3+ years experience as a Remote Executive Assistant
Excellent written and spoken English
Experience with:
Xero – or experience with similar software and processes for personal book keeping
Outlook + MS365 (Calendar, Excel, PowerPoint, Word)
Highly organised with great attention to detail
Confident, proactive, and a natural problem-solver
A strong sense of discretion-at times you’ll be working with sensitive personal information
Comfortable working at least a few hours overlapping with Australian business hours
Experience supporting startup founders or business owners
Familiarity with tools like Trello, Asana, Smartsheet or other project/task platforms
Ability to draft professional email responses in an Australian tone of voice
