We’re a growing provider of in-home ABA therapy services, and our mission is simple: deliver compassionate, consistent care that truly helps families. But before therapy can begin, someone needs to guide parents through those first critical steps. That’s where you come in.
The Role
We’re looking for a Remote Intake Coordinator—someone who can manage new client inquiries, walk families through intake, and ensure all onboarding pieces fall into place. You’ll be the first connection many families have with our team, setting the tone for trust, clarity, and compassion from day one.
What You’ll Do
You’ll own the intake process from the moment a lead comes in to the moment services begin:

Respond to inbound leads, primarily from Facebook and online platforms

Qualify families quickly and efficiently using a proven script (we’ll train you)

Build rapport with qualified leads and keep communication warm and consistent

Manage the intake journey, sending forms and collecting required documentation

Keep parents informed, updated, and engaged during every step of onboarding

Track insurance authorizations in collaboration with our billing company (you won’t submit, but you’ll stay on top of progress)

Coordinate with the lead BCBA, handing off case info and collaborating on scheduling

Enter data into systems like Rethink, Excel, and other web-based tools

Assist with schedule alignment, ensuring BCBAs match family availability

Support the admin team, stepping in where needed to keep things organized and client-ready

Ideal Profile
What You Bring
You’re warm, organized, tech-savvy—and you love helping people find clarity during uncertain moments.

Experience in home care, ABA services, or healthcare intake preferred

Friendly, professional communication style—you build positive relationships with families

Comfortable with phone, email, and follow-up

Tech-savvy: confident with Excel, web platforms, and data entry

Familiarity with Rethink is a plus

Bilingual (English/Spanish) is strongly preferred

Organized and detail-oriented—you follow up, follow through, and keep things moving

Mission-driven: You want to help families and make a difference behind the scenes
