We do this through our self-directed video courses, weekly challenges, and 1:1 coaching programs.
As a small startup company with a team of 4 full-time employees and 7 part-time contractors, we need a partner who can move with speed and precision to support our CEO and our mission.
The Opportunity
We’re hiring a super-organized, fast, and proactive Social Media Manager / Executive Assistant to be the operational force behind our CEO and a true partner in growth. This is a unique hybrid role for a professional who thrives on taking ownership and hitting the ground running. You’ll be the reliable partner who not only manages the day-to-day but also proactively finds opportunities to streamline, grow, and enhance our digital presence.
This role requires a rare combination of exceptional administrative precision and creative digital chops. The ideal candidate will be high-energy, move quickly, and take pride in their ability to bring structure to a fast-paced environment.
Key Responsibilities
Admin & Calendar Management
Your #1 job: Protect the CEO’s time and mental energy. This requires a quick, organized thinker who can anticipate needs and execute flawlessly.

Own the CEO’s calendar—schedule meetings, create buffers, and prevent conflicts.

Manage the CEO’s inbox—flag, respond, and organize emails.

Prepare for calls—confirm Zoom links, agendas, and notify attendees.

Track key dates—client milestones, leads, follow-ups, and important anniversaries.

Take light notes during meetings and send action summaries.

Client Support (High-Ticket Coaching Program)
Deliver a white-glove experience to every client with a detail-oriented and client-centric approach.

Set up and share client folders (Google Drive or Notion).

Schedule group and 1:1 coaching calls with clients.

Respond to client questions via email or Circle chat.

Track progress, missed calls, and payment issues.

Collect testimonials and feedback throughout the program.

Systems & Automation for Social Media Platform
Keep the backend running smoothly and efficiently by owning systems and processes.

Schedule social media posting across all platforms (Instagram, YouTube, TikTok, LinkedIn) through MetriCool.

Manage content calendar using Notion.

Organize Notion, Canva, Frameio, Google Drive, and Kit database.

Upload coaching call replays to Google Drive and Circle.

Keep coaching portals updated and organized.

Monitor automations in Zapier and fix errors when needed.

Maintain branding and organize Canva folders.

Track recurring tasks and project deadlines.

Launch & Marketing Support
Make sure every launch runs on time and on point with your organized and proactive approach.

Upload and schedule emails/newsletters in Kit.

Test Zoom links, landing pages, and checkout flows.

Manage launch timelines and coordinate deliverables.

Set up email sequences and segment audiences.

Track key launch metrics and assist with reporting.

Personal & Life Admin
Support the CEO’s life—because life and business are connected.

Register kids for camps and activities.

Plan and book family/work trips—flights, hotels, and itineraries.

Research vacation ideas and create options.

Coordinate personal events—venues, catering, and invites.

Manage household needs—contractors, rentals, and service providers.

Remind the CEO of important family dates and commitments.

Resourceful and independent—you Google before asking and can work backward from a clear outcome.

A clear and fast communicator—you keep people in the loop and follow up without being asked.

Tech-savvy—you’ve probably taught yourself tools before and aren’t scared of learning more. You have a knack for quickly teaching yourself new software.

Discreet and professional—you’ll be managing sensitive information and personal matters.

Client-centric—you care about delivering excellent service at every touchpoint.

Confident working in marketing/email platforms and understand the dynamics of small but mighty businesses.

Experienced in managing group programs or client support inboxes and have helped execute or support launches.

Bonus Points If You:

Have worked with the following apps: Notion, Circle, Kit, Google Drive, Airtable, Canva, Click Up, MetroCool, Slack, Calendly, Zapier.

Can troubleshoot Zapier workflows or build light automations in Airtable.
