We are building a medical staffing agency that connects healthcare professionals (RNs, LPNs, CNAs, caregivers, and medical assistants) with hospitals, clinics, and care facilities in the U.S. We need a reliable and resourceful Virtual Assistant to help with startup operations, recruiting support, and day-to-day management. This is a long-term role with growth potential.
Responsibilities

Research hospitals, clinics, and senior-care facilities in the U.S.

Assist in recruiting healthcare workers (job postings, resume screening, interview scheduling).

Set up systems (CRM, email templates, onboarding docs).

Manage email & LinkedIn outreach to clients and candidates.

Calendar management and admin support for the founder.

Assist with compliance paperwork and onboarding forms.

Prepare weekly reports on leads, candidates, and outreach progress.

Requirements

Experience as a VA or admin assistant (recruiting/healthcare/staffing preferred).

Strong English communication skills (written & spoken).

Highly organized, detail-oriented, and proactive problem solver.

Tech savvy (Google Workspace, Microsoft Office, CRM tools, job boards).

Experience with LinkedIn outreach or job posting platforms is a plus.

Company Context (for the exercise)
We are a U.S.-based startup medical staffing agency that places nurses (RN/LPN), CNAs, caregivers, and MAs into hospitals, clinics, and senior care facilities. We’re building our first client list and candidate pipeline.
Part 1 – Client Research (20 pts)
Find 5 healthcare facilities we could pitch (mix of hospitals/clinics/senior care) in one U.S. metro area of your choice. Provide a short table with: Facility Name, Website, City/State, Contact Page URL, and the best email or contact method for staffing/vendor inquiries (if available). Add 1 sentence per facility on why they are a good prospect (e.g., recent job postings, expansion, staffing shortages).
Part 2 – Outreach Email Drafts (20 pts)
Write 2 concise email templates:
A) Client outreach: introduce our agency and request a staffing vendor conversation.
B) Candidate outreach: invite a nurse/CNA to a quick screening call for open shifts.
Keep each email 120-180 words, with a clear subject line and call-to-action.
Part 3 – Candidate Sourcing & Shortlisting (20 pts)
Describe how you would find qualified candidates in the Philippines and/or U.S. for RN, LPN, CNA roles. List specific boards/groups/platforms and search strategies. Then, given 8 sample profiles (varying by license, experience, availability, location), explain your top 3 shortlist criteria and how you’d score/rank candidates quickly (1-5).
Part 4 – Onboarding & Compliance Checklist (15 pts)
Draft a checklist for onboarding a new nurse into a client facility. Include items such as license verification, I-9/ID collection, background check, drug screen, immunization records, TB test, skills checklist, W-9/contract, direct deposit, schedule confirmation, and first-day instructions. Provide this as a clean, bullet list the founder can reuse.
Part 5 – Pipeline Tracking (15 pts)
Sketch a simple tracker (table) for weekly reporting with these fields: Lead Source, Facility, Contact Name/Email, Last Touch Date, Status (New/Contacted/Meeting/Contract/Inactive), Next Action, Candidate Pipeline (# RNs, # LPNs, # CNAs ready), Notes. You can present the columns in your document or provide a link to a Google Sheet.
Part 6 – Scenario Prioritization (10 pts)
You have 3 urgent items at 9:00 AM: (1) A hospital replies asking for our capability deck and wants times for a call today; (2) A candidate calls saying they’re late to onboarding and needs the facility contact info; (3) 15 candidate applications came in overnight needing screening. Describe the order you’d handle these, with the exact messages you’d send first (bulleted and concise).
Bonus (Optional) – Simple Capability One-Pager (up to +10 pts)
Create a short, client-facing one-pager (text only) introducing our agency: who we place, coverage areas, screening standards, response times, pricing models (per-diem/contract/direct-hire – ranges fine), and a call-to-action.
