Job Title: Operations Coordinator (Construction & Property Management)

The Opportunity
We are seeking a highly organized, proactive, and systems-minded Operations Coordinator to be a true partner to the founder. This is not just a property management role. It is a hybrid position designed to handle a wide range of administrative tasks across both the general contracting and property management sides of the business.

You will be instrumental in reducing the administrative workload on leadership and helping to train future hires as the company scales. Key Responsibilities
General Contractor Administrative Support (Generator Projects Focus)
Act as the first point of contact for client and technician communications, managing inquiries, service schedules, and follow-ups via email, WhatsApp, and phone.
Handle daily financial administration for construction projects, including preparing invoices, ordering supplies, and tracking material costs against budgets.
Maintain the project tracker spreadsheet with daily progress updates on status, delays, and next steps.
Ensure operational compliance by logging daily safety checks, permit statuses, and archiving all completed project files.
Property Management Support
Manage all tenant communications, responding to maintenance requests, resolving inquiries, and dispatching approved vendors.
Oversee lease administration, including tracking rent payments, managing vacancy reports, and preparing lease renewal notices.
Coordinate with cleaning and landscaping crews for property inspections and manage vendor quotes for repairs.
Cross-Functional Administrative & Operational Excellence
Organize and file all daily receipts and documents from both contractor jobs and property expenses.
Prepare a concise end-of-day summary for leadership, outlining key wins, issues, and priorities for the next day.
Manage calendars, schedule meetings, and handle other miscellaneous administrative tasks as they arise.
Proactively identify bottlenecks and find savvy ways to automate and improve workflows across all business lines.

Availability: Able to work full-time during 9 AM–5 PM EST, Monday to Friday.
