Key Duties/Responsibilities:

Manage and coordinate the Managing Director’s calendar, including scheduling and confirming appointments, meetings, and events.

Arrange and book business and personal travel, including flights, accommodations, visas, and ground transportation.

Maintain and update spreadsheets, databases, and other administrative systems with accurate information.

Help the Managing Director prioritise daily responsibilities and manage reminders for urgent matters.

Organise digital and physical files for quick retrieval of critical business and personal information.

Provide support on ongoing projects, including progress tracking, deadline management, and coordination with internal and external stakeholders.

Oversee company car logistics, including servicing, MOTs, and resolution of any garage or mechanical issues.

Assist with personal tasks such as booking medical appointments, running errands, and managing household logistics

Coordinate home maintenance and repairs (e.g., electricians, plumbers), and act as the main point of contact for family-related support.

Maintain absolute confidentiality and discretion in all personal and professional matters.

Key Skills/Experience:

Bachelor’s degree in Secretarial Studies, Business Administration, or a related field is preferred.

Minimum 5 years of experience in a Personal Assistant, Executive Assistant, or similar administrative role.

Proficiency with the Microsoft Office suite of products.

Excellent command of English, both written and spoken.

Strong organisational and multitasking skills with attention to detail.

Proven ability to manage time effectively, meet deadlines, and handle multiple priorities.

High level of discretion and professionalism in handling sensitive information.

Comfortable using communication and scheduling tools like Zoom, Microsoft Teams, and shared calendars.

Tech-savvy and comfortable working with digital tools, apps, and smart systems.

Flexible with working hours, including ability to work and respond outside of office hours.

Proactive, resourceful and able to work independently with minimal supervision.
