VACANCY Key Responsibilities

The Accountant will support the financial management of Wikimedia Community User Group Botswana’s activities under the annual plan grant. Duties include, but are not limited to:

Financial Recordkeeping:

Create and populate a payment tracker for tracking all invoices submitted to Wikimedia Botswana.

Maintain accurate and organised physical and digital records of all financial transactions, including project expenses, income, and receipts.

Financial Reporting:

Prepare simple, clear monthly, quarterly, and biannual financial summaries and reports for internal use, as well as mid-year and end-of-year grant reporting.

Budgeting Support:

Assist in budgeting and tracking spending against project budgets.

Flag any risks or variances to the project team.

Cash Flow & Payments:

Monitor incoming and outgoing funds.

Manage petty cash, where applicable, and ensure timely payment of approved expenses.

Tax & Compliance:

Ensure compliance with Botswana tax regulations, including PAYE filing where applicable.

Support the organisation in meeting its statutory financial obligations.

Audit Support:

Assist with internal and external audits by preparing required documentation, ensuring accurate reconciliations, and responding to audit queries.

Financial Controls:

Help enforce internal financial procedures and flag any risks or concerns to the Program Coordinator and Fiscal Sponsor.

Collaboration with Fiscal Sponsor:

Work closely with the fiscal sponsor to share timely financial information and align on financial reporting and fund management.

Participate in monthly pre-finance meetings to approve invoices for submission to the fiscal sponsor for disbursement.

Transparency & Accountability:

Ensure that all financial documentation is filed and accessible in accordance with Wikimedia Foundation grant requirements and community expectations.

Additional Duties:

Provide finance-related support for events or campaigns.

Assist the user group with financial insights or updates as needed.

Qualifications Education:

Bachelor’s degree in Accounting.

Experience:

Minimum of 2-3 years’ experience in accounting, preferably in the nonprofit, digital, or open knowledge sectors.

Experience working within the Wikimedia movement is a plus.

Skills and Knowledge:

Strong understanding of Botswana financial laws and Wikimedia Foundation’s financial policies.

Excellent written and verbal communication skills, with the ability to engage diverse audiences.

Strong organisational and project management skills.

Proficiency in accounting and budget management tools (e.g., SAGE, Excel, or similar).

Personal Attributes:

Ability to maintain confidentiality.

Strong sense of initiative, self-motivation, and the ability to work independently.

Open to learning and adapting in a fast-changing digital environment.

Desirable Qualifications:

Experience working with volunteer-driven initiatives or in a multicultural and diverse environment.

BICA certification.
