Role Overview:
As the Accounting & HR Associate at TubeScience, you will report to the Assistant Controller and work closely with the accounting and HR teams to support day-to-day accounting operations and HR administrative processes for our fast-growing, tech-enabled service business.
We are seeking a detail-oriented and process-driven Accounting & HR Associate to join our accounting team. The ideal candidate will be responsible for administering the accounts payable processes, contractor onboarding validation and payment administration, backup the G/L accountant, and providing general HR operations including employee/contractor onboarding and offboarding. This role requires strong attention to detail, excellent organizational skills, and a compliance-focused mindset to ensure the accuracy and timeliness of accounting and HR processes.
Reporting to the Controller with dotted line support to HR and Benefits management.
Key Responsibilities:
Accounts Payable Management:
Process accounts payable invoices, ensuring accuracy and timely vendor payments
Validate invoices against purchase orders or contracts for terms compliance in processing payments
Manage AP inboxes and coordinate with external invoice processing teams
Monitor AP aging statements and reconciliation
Resolve payable issues with managers and vendors promptly
Maintain accurate vendor records and documentation
Other general ledger, credit card and moth end close G/L and AP processing support as needed.
Payroll & Contractor Management:
Manage independent contractor documentation to ensure completeness and accuracy
Process contractor payments through Wrapbook and other platforms
Validate paperwork for timely contractor payments
Support payroll change validations for accuracy
Maintain compliance with contractor classification requirements
Process contractor payments across multiple systems – Ramp, Wrapbook, Rippling, Paypal, and production management systems.
HR / Contractor Operations Support:
Facilitate employee and contractor onboarding/offboarding processes in Rippling, Wrapbook and other payment systems
Ensure all required documentation is collected and properly filed
Assist with HR compliance documentation and record-keeping
Support HR with administrative tasks during peak periods
Help maintain employee and contractor records for audit purposes
Support end-to-end onboarding and offboarding processes for employees and contractors
Coordinate with IT, accounting / Finance, and other departments to provide seamless transitions
Maintain and update onboarding/offboarding checklists and procedures
Monitor and ensure compliance with employment laws and regulations
Maintain up-to-date knowledge of HR compliance requirements for remote/global workforce with HR/People team.
Ideal Profile
Qualifications:
Associate’s or Bachelor’s degree in Accounting, Finance, Human Resources or related field
3-5 years of experience in accounts payable, payroll processing, HR operations and or G/L accounting
Working knowledge of GAAP and basic accounting principles
Experience with payroll systems (Rippling, Wrapbook, or similar platforms)
Familiarity with accounts payable software and processes, including Ramp and Quickbooks
Understanding of HR onboarding/offboarding processes / documentation requirements
Familiarity and working knowledge of California employment and contractor compliance management, ideal.
Strong attention to detail and excellent organizational skills
Excel/Google Sheets proficient.
Ability to manage multiple priorities in a fast-paced environment
Requirements:
Ability to work Los Angeles working hours with a minimum of 6 hours overlap during 7am – 7pm Pacific time zone

Strong written and verbal communication skills in English
