About The Role
We are seeking a detail-oriented Bookkeeping Specialist to support our operations across multiple retail portals and internal systems. The ideal candidate will not only have strong bookkeeping and accounts receivable skills but will also be comfortable navigating vendor portals, managing EDI claims, assisting with product setup processes, and ensuring accurate payroll reporting. This role requires excellent organizational skills, strong attention to detail, and a proactive approach to problem-solving.
Key Responsibilities
General Bookkeeping & Accounting:
Manage daily bookkeeping operations including data entry, reconciliation, and ledger maintenance.
Prepare and maintain accounts receivable records and follow up on outstanding invoices and past due accounts.
Track customer account deductions, overcharges, and past dues using Excel spreadsheets.
Process payroll hours for WinWin staff and temporary workers accurately and on time.
Monitor and reconcile remote deposits through Midfirst Bank.
Assist in monthly, quarterly, and annual financial reporting and closing processes.
Retail Portal and Vendor Management:
Set up new items, manage item forms, update price discounts, and handle product transfers and billing for Walgreens via Stibo.
Perform quarterly uploads for Lildy and maintain up-to-date product information.
Manage Kroger EDI, including claims processing and issue resolution.
Utilize 1Worldsync for new item creation, price adjustments, and portal management for Kroger and Albertsons.
Navigate CVS vendor portals, manage price updates, new item forms, run reports, and handle store claims/issues.
Maintain detailed documentation of all portal logins, passwords, and processes.
Logistics and Claims Management:
Utilize UPS Business Intelligence tools to track shipments, file lost package claims, and retrieve proof of delivery for old tracking numbers.
Inventory and Product Management:
Ensure new product setup is reflected accurately in QuickBooks (QB), including box markings and inner pack markings.
Support cross-functional collaboration with operations and logistics teams on product and billing matters.
Requirements:
3+ years of bookkeeping or accounting experience.
Strong working knowledge of QuickBooks or similar accounting software.
Proficiency in Excel, including using spreadsheets for tracking financial data.
Experience working with retail portals (Walgreens Stibo, 1Worldsync, CVS Vendor Portal, Kroger EDI) is strongly preferred.
Familiarity with payroll systems and processing payroll for full-time and temporary employees.
Ability to file claims and manage package tracking using UPS Business Intelligence or similar systems.
Strong organizational skills, detail-oriented, and able to manage multiple accounts and projects simultaneously.
Ability to work independently, prioritize tasks effectively, and meet deadlines.
Strong communication skills, both written and verbal.
Preferred Qualifications:
Prior experience working with retail vendor compliance and EDI claims.
Experience handling item creation and maintenance across multiple retailer platforms.
Familiarity with mid-sized company financial operations, especially in consumer goods or logistics industries.
