In your role as an Administrative Assistant, you will work with an executive team to provide administrative support, coordinate schedules and meetings, arrange travel, assist with deliverables and provide BSL (Business Segment Liaison) support. This position provides support to the SVP Quality Performance and their leadership team. Candidates will need to work standard business hours in Central Time Zone.

Primary Responsibilities:
Proactively manage executive-level calendar, travel and expense management
Make large meeting arrangements, including schedules and setting up resources and technology requirements (e.g., conference rooms, agendas, catering, Teams/telepresence, meeting materials, etc.)
Ensure there are fallback plans as part of coordinating critical meetings; pivot quickly as situational changes may warrant
Interact with individuals at all levels of the organization, including supporting indirect team
Perform BSL support tasks including onboarding new employees, process invoices and supporting documentation and purchase supplies for the team
Prepare, compile and/or integrate information needed to complete reports, presentations, and documents for each audience
Review documents to ensure accuracy and quality, and revise as needed
Answer incoming calls/emails and facilitate handling of requests for information
Independently perform varied administrative duties related to functional areas * Build knowledge base to be able to share answers and make appropriate connections in order to respond to incoming requests effectively
Perform in accordance with all organizational policies and procedures, including maintaining and/or communicating sensitive and/or confidential information appropriately

Required Qualifications:
2+ years of experience in an administrative role supporting senior executives (Director level or above) in a fast-paced and highly matrixed work environment
Microsoft Outlook experience in managing others’ complex calendars across multiple time zones, scheduling meetings, and organizing/managing emails
Microsoft Teams experience including virtual meetings scheduling and troubleshooting, document and information sharing
Intermediate proficiency in Microsoft Office including Word, PowerPoint, Excel
Experience making travel arrangements
Ability to work standard business hours in Central Time Zone.
Ability to travel <10% for occasional events, meetings, etc.
Ability to be accessible outside of business hours
Preferred Qualifications:
Experience working in a matrix/team environment supporting but not directly reporting to assigned leader(s)
Experience maintaining organizational charts, distribution lists and/or file management
Experience using Smartsheet
Experience with onboarding new employees and coordinating hardware and software requisitions
Proven health care industry knowledge
Experience with Adobe Acrobat for document editing and management
Experience with Ariba and Concur

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The salary for this role will range from $41,600 to $74,300 annually based on full-time employment. We comply with all minimum wage laws as applicable.
