Job Summary:
As a Bookkeeper with Administrative Experience, you will be responsible for maintaining accurate financial records, managing office administration tasks, handling insurance policies, and ensuring timely billing and collections. The ideal candidate will be highly skilled in accounting practices, proficient in QuickBooks, MS Office applications, and capable of communicating effectively in English. While English proficiency is required, it can be a second language.
Key Responsibilities:
Manage daily bookkeeping tasks, including but not limited to filing and paying sales tax, handling recurring monthly invoices to clients, and conducting accounts receivable collections.
Provide accurate financial statements each month, ensuring all financial reporting deadlines are met.
Reconcile bank accounts and credit card statements promptly and accurately.
Run payroll, ensuring all employees are paid accurately and on time.
Oversee office administration duties, including managing insurance policies and ensuring compliance with financial regulations.
Utilize QuickBooks for financial management and reporting, ensuring all data is up-to-date and accurately reflects the company’s financial status.
Proficient use of MS Office applications (Outlook, Word, Excel) for communication, document creation, and data analysis.
Communicate effectively with clients, vendors, and team members, both verbally and in writing, in English.
Coordinates orders with Broker ensuring all paperwork and orders are properly processed.
Manage orders with Carriers, gathering all required documents for order management between Client and Master Agent.
Ensures Commissions are properly paid for completed orders/installations.HR Liaison to Payroll and Benefits Company:
Onboards/Offboards Employees maintaining accurate HR records with Payroll and Benefits Company.
Keeps track of employee hours and PTO.Administrative Functions:
Maintains Records of Insurance Policies, ensures timely renewals providing information to Insurance Agents as needed.
Administrative Assistant to the CEO.
Qualifications:
Proven experience in bookkeeping and administrative roles, preferably within a managed IT service company or similar.
Strong knowledge of accounting principles and experience managing financial records.
Proficiency in QuickBooks and MS Office applications (Outlook, Word, Excel).
Excellent organizational skills and attention to detail.
Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
Strong communication skills in English, both verbal and written. English as a second language is acceptable.
A proactive approach to problem-solving and the ability to work independently.
Education:
Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
Experience:
Minimum of 2 years of relevant experience in bookkeeping and office administration.
3 to 5 years Administrative Experience.
3 years experience in Microsoft Office 365 Applications (Outlook, Word, & Excel).
3 years Customer Service and Client Management Experience.
