This role offers the flexibility to work from home while playing a pivotal part in ensuring seamless administrative operations and exceptional client service.
The Role
Key Responsibilities
Document Management:

Efficiently handle daily incoming requests for contracts, bills, permits, and insurance documents.

Ensure all documents are signed, dated, and accurately aligned with client requirements.

Contract Verification:

Review contracts for accuracy and completeness.

Coordinate with clients to confirm details and update contracts to reflect current terms and responsible parties.

Government Forms:

Complete and manage all required government forms related to new and ongoing contracts.

Ensure compliance with all regulatory standards.

Insurance Coordination:

Process requests for Certificates of Insurance (COI) by liaising with insurance brokers to obtain and verify necessary documents before sending them to clients.

Record Keeping:

Maintain precise records of all handled documents.

Organize digital and paper files for easy accessibility and future reference.

Client Communication:

Effectively communicate with clients to gather information, clarify document requirements, and ensure satisfaction with our services.

Ideal Profile
Experience:

Proven background in document coordination or a related field, ideally within the elevator or similar industries.

Experience working remotely for a U.S.-based company is a strong advantage.

Technical Skills:

Proficiency in Adobe Acrobat for editing PDFs.

Advanced knowledge of Microsoft Office applications, including Word and Excel.

Language Skills:

Exceptional English proficiency, both written and verbal, with the ability to read, interpret, and communicate complex information clearly.

Personal Traits:

Highly organized and detail-oriented, with the ability to manage multiple tasks and deadlines in a fast-paced environment.

Communication Skills:

Professional and polished in both written and verbal communication, with excellent interpersonal abilities.
