Overview:
Under general direction, conducts research and analytical studies of Child Development Services operations and programs; recommends and implements improvements, potentially resulting in new or revised policies, procedures, systems, or programs. Responsible for ensuring the child & family data systems and procedures efficiently and accurately collect, track, and report required information for compliance; responsible to provide and arrange data systems training for staff as needed and serve as software systems administrator/liaison for the service line; responsible for meeting Head Start performance standards and following service line policies and procedures.
Pay Range: $27.88 – 34.85/hr Responsibilities:

Conducts studies of administrative and operational activities, including equipment usage, staff patterns, workflow, space utilization, and technology.

Maintains executives’ calendars, schedules meetings, and organizes events.

Works closely with cross-functional teams to identify key agency challenges, develop analytical models and frameworks, and provide recommendations based on data insights.

Plans and coordinates service line training; administers the training budget.

Supports service line to develops policies and procedures, creates and improves forms, and coordinates publication and dissemination.

Supports VP to develop and process bid proposals and agreements, interprets contract terms, and monitors compliance.

Prepares and monitors grant applications and procedures for grant implementation.

Participates in meetings, presents data, and assists management in decision-making.

Manages projects, plans meetings, creates presentations, tracks progress, and reports on project status.

Creates monthly program reports for administrative staff and funding sources.

Implements and explores technology solutions to improve operational efficiency.

Provides administrative support to service lines and leadership, drafts correspondence, and creates presentations.

May supervise a small staff; assign and evaluate work.

Prepares reports, records, correspondence, and other documents.

Other duties as assigned.

Qualifications:

Bachelor’s degree in public/business administration, behavioral/social science, accounting/finance, or other relevant field.

Three (3) years of progressively responsible professional-level administrative experience in at least two of the following areas: contracts or grants management, organizational/operational/personnel activities, technology or facilities.

Proficient in MS Office Applications and managing Teams/Zoom meetings.

Technology savvy and willing to learn new systems.

Excellent communication and interpersonal skills to effectively collaborate with cross-functional teams.

Ability to work in a fast-paced environment and manage multiple priorities.

Effective communication skills with all levels of associates and the public.

Planning and organizational skills with the ability to engage multiple stakeholders.

Thorough understanding of business and management principles, especially those involved in strategic planning, human resource modeling, production methods, and the allocation of resources.

Ability to obtain and maintain criminal record/fingerprint clearance from the Department of Justice and Federal Bureau of Investigation.

Excellent analytical and creative problem-solving skills.

Ability to constructively collaborate with various individuals with a variety of personalities.

Ability to analyze, interpret and organize large amounts of data.
