ROLE
The Finance Manager oversees the company’s accounting and financial operations, ensuring accurate bookkeeping in QuickBooks, conducting weekly bank reconciliations, and managing accounts payable. Key responsibilities include issuing retailer invoices, invoicing collective shipping costs from Shopify, and completing monthly accounting closures. The role requires full bank reconciliations, marketplace revenue recognition, accounts receivable, and payroll reconciliations, as well as calculating the cost of goods sold (COGS). Weekly updates on accounts payable and cash flow forecasts are also necessary.
Additionally, the Finance Manager analyzes omni-channel margins, calculates monthly margins, and conducts profit & loss (P&L) and balance sheet analyses, presenting findings to stakeholders. Tax management includes handling VAT for the UK and DE, summarizing VAT quarterly, and coordinating tax filings with US and UK CPAs. This role also manages intellectual property, oversees patents, coordinates with legal teams, and processes copyright applications.
The Finance Manager further supports the customer service team with payment orders and assists shareholders regarding vendor and contractor contracts.
RESPONSIBILITIES
Bookkeeping – Quickbooks
Weekly bank reconciliations
Weekly AP entries
Retailers invoicing on request
Weekly Shopify collective shipping invoices
Monthly accounting close including full reconciliation of banks, AR, debts, credit cards, payroll, and COGS calculation.
Cash flow management
Weekly APs report and cash flow forecast updates
Vendor payments, receipts, and account transfers
Track credit card balances and liaise with lenders.
Margin/Financials management
Weekly margin tracking and monthly P&L analysis
Financial reporting to stakeholders and analysis of new products.
Tax responsibilities
Weekly VAT filings and quarterly reports
Coordinate with US and UK CPAs for tax filings.
Other support
Assist customer service with payment orders
Support shareholders with vendor/contractor contracts.
Requirements
Familiarity (ideally first hand experience) with Amazon marketplace and Shopify reporting systems
Good understanding of cash vs accrual based accounting
Must have experience with ecommerce and inventory-holding businesses for COGS calculation
Must be a Certified Bookkeeper
CPA certification or access to a CPA for financial reviews is preferred
Good communication skills
Experience with QBO is required
