Responsibilities of the Executive Assistant:
Your responsibilities include:
Calendar Management:
> Manage and update the client’s calendar for meetings, appointments, and personal commitments
> Proactively reschedule conflicts and provide timely reminders for upcoming engagements
Email Management:
> Organize the client’s inbox, flag important emails, and ensure timely responses to high-priority contacts
> Draft and respond to emails on behalf of the client, with autonomy expected in the long term
> Regularly clean and maintain an efficient inbox
Phone Management (Nice-to-Have):
> Manage the client’s text messages and notifications using the desktop version of Pixel
Social Media Management:
> Handle direct messages and comments, ensuring timely and appropriate responses
> Filter and direct messages requiring client attention, such as investment inquiries and event invitations
> Platforms include LinkedIn, YouTube, Facebook, Instagram, and Twitter
Travel Arrangements:
> Book domestic and international travel, including flights, accommodations, and transportation for the client and their partner
> Coordinate travel itineraries for smooth transitions between meetings and events
Administrative Tasks:
Password Management:
> Organize LastPass with approved passwords and ensure accessibility for necessary tasks
> Filing and Document Organization:
> Use Google Drive and Dropbox to manage and organize documents
Task Management:
> Oversee essential tasks such as maid services, car maintenance, and property appointments
> Vendor Communication
> Confirm services with vendors and address any issues that arise
Contact Management:
> Maintain and update a contact database, categorizing into investors, clients, vendors, and personal acquaintances
> Track important dates, birthdays or charity events and manage gifts or flowers for special occasions
Note-taking & Meeting Summaries:
> Attend meetings or calls, taking detailed notes and summarizing key points
> Use Microsoft Teams and Zoom for meetings, and ensure minutes are shared promptly
> Track tasks using Ninety.io for goals and Monday.com for daily processes??
