Why does this role exist?
This role is critical to maintaining and elevating the boutique’s exceptional client experience through expert CRM management and personalized communication. The Executive CRM & Client Relations Assistant will proactively nurture high-level client relationships, ensuring seamless and discreet follow-up that reflects the brand’s luxury identity. By organizing and optimizing the CRM pipeline and supporting the sales team with tailored client correspondence and reporting, this position directly contributes to client satisfaction and long-term business growth.
The Impact you’ll make
CRM Management & Pipeline Organization
Accurately tag and prioritize leads within the CRM system (preferably Pipedrive)
Manage follow-up schedules and ensure timely client engagement
Maintain clean, organized, and up-to-date CRM data
Client Communication & Relationship Building
Draft and send personalized emails and messages based on sales team briefs
Foster smooth, elegant, and proactive communication with high-end clients
Share curated inspirational visuals or materials to enhance client engagement
Sales Support & Reporting
Assist in preparing weekly sales reports and client follow-up reminders
Provide insights and updates to the sales and customer success teams as needed
Brand Representation & Confidentiality
Embody the luxury brand’s discretion, professionalism, and emotional intelligence in all interactions
Uphold the highest standards of client privacy and data security
Skills, Knowledge and Expertise
Required:
Proven experience in luxury client service, high-end hospitality, concierge, or related roles
Proficiency with CRM platforms, with preference for Pipedrive experience
Fluent in English; bilingual French/English strongly preferred
Demonstrated ability to work autonomously and manage multiple priorities
Strong written and verbal communication skills with a detail-oriented approach
WFH Set-Up:
Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
Internet speed of at least 40MBPS
Headset with an extended mic that has noise cancellation and a webcam
Back-up computer and internet connection
Quiet, dedicated workspace at home
Your Superpowers:
Technical Skills: CRM management, email communication, sales reporting, basic graphic curation
Soft Skills: Emotional intelligence, discretion, proactivity, autonomy, excellent communication, aesthetic sensitivity or background in interior design/architecture (an asset)
Tools: Comfortable using translation tools if bilingualism is partial; adept with digital communication platforms
