Executive Assistant
Job type: full-time, remote offshore contractor
Schedule: Pacific US Time Zone, Monday through Friday
About the Role:
We are seeking a proactive, detail-oriented Executive Assistant to support a seasoned entrepreneur and CEO running multiple early-stage businesses and managing investment properties. This position blends personal and professional responsibilities, with an estimated 75–80% focus on business-related tasks and 20–25% on personal support.
This is not a rigid, routine admin job. The ideal candidate will thrive in a dynamic, success-based environment with shifting priorities and evolving needs. Some weeks may involve high-output sprints—such as supporting acquisitions or major projects—while others may be more even-keeled. We’re looking for someone who is flexible, adaptive, and eager to grow.
We are specifically looking for someone who is tenacious, detail-obsessed, and thrives on project-based work. You should love digging deeper into tasks, figuring things out independently, and filling in the blanks without needing to be told twice. If you’re curious by nature, relentlessly hard-working, and capable of functioning with autonomy in a high-performance environment, you’ll be a perfect fit. This role requires someone who can align closely with a driven CEO and keep pace with their standards and speed.
Key Responsibilities:
Manage and optimize calendars, email inboxes, and scheduling across ventures
Liaise with the CPA and other service providers, especially during tax season
Coordinate communications across multiple companies and stakeholders
Maintain highly organized digital filing systems and GSuite documents
Handle research projects, create reports, and assist with project-based tasks
Support CEO in managing tasks related to acquisitions, property management, and more
Oversee and complete routine administrative tasks (approx. 30% of workload)
Flexibly manage ad hoc responsibilities and evolving priorities (approx. 70% of workload)
Travel coordination (and potential travel) for business-related needs
Maintain confidentiality, professionalism, and a high level of discretion
What to Expect:
Variable Workload: Some weeks will be intense (e.g., closing deals), others lighter – We want someone who is flexible and enjoys being offered flexibility in return
Project-Based: Success will be measured by outcomes and progress, not just hours worked
Growth-Focused: The CEO is open to promoting from within and rewarding excellence
Diverse Responsibilities: No two days will look the same—expect variety and challenge
Travel: Occasional travel may be involved (a plus for those who enjoy it)
Ideal Candidate Profile:
Preferred Background: Experience supporting high-performing sales leaders or CEOs as an Executive Assistant or Sales Admin Support
Self-Starter: Proactive, capable of figuring things out with minimal guidance
Flexible & Adaptable: Comfortable with shifting workloads and diverse responsibilities
Tenacious & Independent: Aggressively hard-working and doesn’t give up easily
Detail-Oriented: Highly meticulous and dependable when it comes to execution
Loves Projects: Finds satisfaction in completing complex, evolving work
Curious & Inquisitive: Naturally inclined to ask questions, explore options, and dig deeper
Highly Organized: Excels at managing details, deadlines, and priorities across projects
Excellent Communicator: Strong English writing and speaking skills
Professional: Maintains confidentiality and handles sensitive matters with care
Tech-Savvy: Proficient in GSuite and open to learning other productivity tools
Culture Fit: Able to integrate seamlessly with a positive, driven, high-performing CEO
