This is a full-time, remote position with flexible working conditions and occasional travel. Part of your responsibilities are:

Provide high-level administrative support to the executive team, including calendar management, scheduling, and coordinating virtual and in-person meetings.

Organize and coordinate bi-monthly in-person meetings in major European cities, including travel arrangements, venue logistics, and agenda preparation.

Manage and prioritize emails, calls, and other forms of communication, ensuring timely responses and efficient workflow.

Prepare reports, presentations, and documents as required by the executive team.

Assist with special projects and ad hoc tasks as necessary, ensuring the smooth functioning of day-to-day operations.

Maintain confidentiality and professionalism at all times.

100% remote|Occasional travel to European capitals

Previous experience as an Executive Assistant or in a similar high-level administrative role, ideally within an AISBL, NGO, or international organisation.

Fluency in English is essential (both written and spoken); knowledge of additional European languages is a plus.

Demonstrated ability to work independently and manage multiple tasks efficiently in a remote environment.

Strong organizational and problem-solving skills, with excellent attention to detail.

Proficient in MS Office, Google Workspace, and other relevant digital tools for remote work and project management.

Comfortable with international travel and capable of coordinating in-person events in European capitals.
