Office Assistant & Scheduling Coordinator

About Us:
We are looking for an assistant and scheduling coordinator to join our team and assist with benefit verification and communication with insurance companies. This role is crucial in ensuring accurate and efficient benefit processing while helping clients navigate their insurance coverage.
Job Summary:
As an Office Assistant & Scheduling Coordinator, you will be responsible for answering the phone, scheduling, rescheduling, and cancelling appointments, and providing office support to the clinical team for a busy psychological office. The ideal candidate will have at least 2 years of experience in a similar role, strong attention to detail, and excellent communication skills in both English and Spanish.
Scheduling & Client Communication

Answer phone calls, check voicemails, and return calls promptly.

Schedule and reschedule appointments as needed.

Respond to client inquiries via phone, email, and text messages.

Provide general information about the practice and our services to new and existing clients.

Administrative Support

Maintain knowledge of office policies and procedures to provide accurate information.

Send and respond to emails, including communications with new and existing clients.

Manage text messaging for client communication and appointment reminders.

Send initial questionnaires to parents via email.

Track the completion of clinical questionnaires and update their status in the office spreadsheet.

Send reminders to parents to complete questionnaires via email or Google Voice.

Qualifications:

Previous experience in an administrative or scheduling role preferred.

Strong communication skills, both written and verbal.

Proficiency in Microsoft Office (Word, Excel) and Google Suite (Gmail, Google Sheets, Google Voice).

Excellent organizational skills and attention to detail.

Ability to multitask and prioritize tasks effectively.

Professional and friendly demeanor when interacting with clients

Exceptional verbal and written communication skills in both English & Spanish.
