The Opportunity
Ready to be the backbone of exceptional client experience at a leading B2B SaaS marketing agency? We’re seeking a Client Experience Operations Assistant who will orchestrate memorable moments for our clients and team members while supporting our VP of Operations.
Core Responsibilities
Reporting to the VP, Operations, you will:
Client Experience Management

Design and execute memorable client welcome and onboarding experience

Coordinate kickoff meetings, quarterly business reviews, and strategic planning sessions

Manage client gifting programs and special occasion recognition

Maintain client communication schedules and follow-up protocols

Create and update client documentation and engagement materials

Team Support

Coordinate new team member onboarding experiences

Manage internal meeting schedules and team-building activities

Support remote team culture through virtual events and celebrations

Maintain team documentation and process libraries

Assist with quarterly planning and annual retreat coordination

Executive Support

Manage VP of Operations’ calendar and communications

Prepare meeting materials and follow-up documentation

Handle travel arrangements and expense management

Drive process improvement initiatives

Coordinate cross-functional projects

You’re Our Ideal Candidate If You:

Proven experience as an Executive Assistant or in a similar role providing administrative support at the executive level.

Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant office software.

Experience with project management tools (e.g., Asana, Trello, or similar platforms) is a plus.

Skills & Abilities:

Exceptional organizational and time management skills with the ability to prioritize tasks effectively.

Strong English written and verbal communication skills.

Ability to maintain professionalism and confidentiality at all times.

High attention to detail and problem-solving ability.

Ability to work independently and as part of a team, managing multiple tasks with minimal supervision.

Flexible and adaptable, with a strong ability to handle shifting priorities in a fast-paced environment.

Required Experience

3+ years of executive assistant experience

Demonstrated success managing project management systems

Remote work experience and excellent virtual communication skills
