Remote] Order Administration, Investment Fund

This is a remote position.

Our client is an investment fund in the Netherlands who is looking for a qualified candidate to join their team:

Building a clean master database of customers prepare quotations

Follow up quotations with company sales team order administration in company system

Receive and review investment orders from portfolio managers or traders, ensuring accuracy, completeness, and compliance with internal policies and regulatory guidelines.

Coordinate with brokers, custodians, and other market participants to execute investment orders, ensuring timely and efficient trade execution. Monitor order status and resolve any trade-related issues or discrepancies.

Maintain comprehensive and accurate records of all investment orders, trade confirmations, and related documentation. Ensure proper filing and organization for easy retrieval and audit purposes.

Monitor investment activities and transactions to ensure compliance with regulatory requirements, internal policies, and investment guidelines. Flag any potential breaches or violations and work with compliance teams to address them.

Collaborate with operations and settlement teams to ensure proper settlement of investment transactions.

Reconcile trade confirmations, monitor cash flows, and resolve any discrepancies or failed trades promptly.

Generate regular reports and updates on order status, trade execution, and other relevant metrics. Provide analysis and insights on trade activity, volumes, and performance to support decision-making and performance evaluation.

Identify areas for process optimization and automation within the order administration function. Collaborate with IT teams to enhance trading systems, workflows, and reporting capabilities.

Build and maintain effective relationships with brokers, custodians, and other external counterparts to facilitate smooth order execution and resolve any operational issues.

Requirements

A bachelor’s degree in finance, economics, business administration, or a related field is typically required.

Relevant experience in order administration, trade support, or operations within an investment fund, asset management firm, or financial institution is beneficial.

Familiarity with financial markets, instruments, and investment products is important. Understanding trade execution processes, market conventions, and regulatory requirements related to order administration is necessary.

Excellent attention to detail is crucial for administration to ensure accurate and error-free trade processing, documentation, and reconciliation.

Strong analytical skills are necessary to review and analyze trade-related data, identify discrepancies or patterns, and generate meaningful reports and insights.

Effective communication skills, both written and verbal, are essential to interact with internal teams, external counterparties, and other stakeholders. Collaborative abilities are important for cross-functional coordination.

The ability to manage multiple tasks, prioritize workload, and meet deadlines is vital in a fast-paced and time-sensitive investment environment.
