The Impact you’ll make
Executive Operations Management

Manage and organize executive tasks and priorities using project management tools

Coordinate meetings, document key takeaways, and ensure follow-through

Handle critical communications and maintain efficient workflows

Create and optimize Standard Operating Procedures (SOPs)

Data Systems Administration

Process and manage complex data sets using various tools

Execute SQL queries and manage database operations

Configure and maintain data feeds via APIs

Implement and manage CRM systems and automation

Process Optimization

Identify and implement workflow automation opportunities

Maintain data accuracy and security compliance

Streamline communication between stakeholders

Develop and document improved operational processes

Stakeholder Coordination

Act as liaison between the executive team, vendors, and clients

Manage vendor relationships and data integration projects

Ensure clear communication and expectation management

Provide support for key stakeholder meetings

Measure of Success

Successful implementation of automated workflows reducing manual tasks by 50%

Maintain 98% accuracy in data processing and integration tasks

Achieve and maintain 24-hour response time for priority communications

Complete process documentation and SOP creation for core operations

Skills, Knowledge and Expertise
Required:

2+ years experience in operations or technical coordination roles

Proven experience with data manipulation tools and CRM systems

Demonstrated proficiency in SQL and database management

Strong background in project management tools (ClickUp, Jira, or similar)

Experience in process automation and workflow optimization

Advanced proficiency in Excel (Pivot Tables, VLOOKUP) and Google Workspace

Proven track record of maintaining data confidentiality and security protocols

Experience with CRM platforms (HubSpot, Salesforce, Zoho, or Airtable)

WFH Set-Up:

Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.

Internet speed of at least 40MBPS

Headset with an extended mic that has noise cancellation and a webcam

Back-up computer and internet connection

What to expect…
Work Setup:

Remote position

Must have a reliable internet connection and a quiet workspace

Required to provide own computer with Intel Core i5 or something similar or higher operating system

Working Hours:

Monday to Friday, 9 AM to 5 PM EST (Eastern Standard Time)

40 hours a week

Compensation:
