Key Responsibilities:
Assist executives in delivering exceptional, personalized travel and lifestyle experiences that surpass client expectations.
Utilize extensive knowledge of bespoke travel planning to ensure client briefs and budgets are met or exceeded.
Coordinate and manage reservations for restaurants, hotels, entertainment venues, and other lifestyle services.
Provide comprehensive information on facilities, services, attractions, events, and transportation options.
Book private jets, yachts, and other luxury services, applying strong negotiation skills to secure favorable terms.
Liaise with key contacts, suppliers, and internal teams to ensure seamless service delivery.
Arrange transportation, including drivers and airport assistance, and manage bookings for flights, hotels, appointments, and events.
Anticipate client needs and proactively provide solutions to challenges that may arise.
Work collaboratively with the Travel & Lifestyle Concierge team, offering operational support where needed.
Professionally handle and resolve client queries, ensuring expectations are managed effectively.
Consistently meet individual and team KPIs with a positive, solutions-focused approach.
Maintain a high level of accuracy and attention to detail, ensuring no errors or oversights.
Work efficiently under pressure to meet tight deadlines, while maintaining high standards.
Handle sensitive and confidential client information with discretion and professionalism.
Ensure all client data is kept up-to-date in the company’s CRM system.
Respond promptly to client requests within agreed turnaround times, delivering clear and confident communication.
Confidently up-sell and cross-sell additional services where appropriate, enhancing client experiences.
Ensure all supplier payments are completed on time, adhering to company policies.
Follow and improve upon existing standard operating procedures, suggesting updates when necessary.
Provide support to colleagues during periods of absence or leave.
Familiarize yourself with the “Luxury Escapes Platinum” card program and its unique selling propositions, promoting it to clients effectively.
Source exclusive event tickets and luxury items, enhancing the client experience.
Manage bookings for meetings, incentives, conferences, and events (MICE) for corporate clients.
Actively contribute to the growth of the Luxury Escapes Travel & Lifestyle Concierge brand through word of mouth and social media engagement.
Qualifications:
Bachelor’s degree in Hospitality, Travel, or a related field.
Working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Visio).
Experience with using CRM systems, particularly Salesforce.
Minimum of 3 years’ experience in the travel, concierge, or luxury lifestyle industry.
Proven track record in providing exceptional customer service in a fast-paced environment.
Specialized knowledge of the hospitality industry and luxury brands.
Strong organizational skills and attention to detail.
Outgoing yet discreet demeanor, with the ability to maintain confidentiality.
Comfortable and confident in successfully handling tight deadlines and quick turnarounds.
Ability to multitask and work well under pressure while maintaining high-quality standards.
Strong team player with excellent professional communication and negotiation skills.
Self-driven, proactive, and creative in handling requests and overcoming challenges.
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, Visio) and Salesforce.
Fast typing skills.
Fluent in English; additional proficiency in languages such as Arabic, Spanish, or Russian is a plus.
